Messaging an organisation about an invoice

A reply to one of your invoices becomes a thread attached to that invoice, so the query and the invoice stay together.

What happens when they reply

Every invoice you send carries a reply address that belongs to that invoice. When someone at the organisation replies, their message lands on a conversation attached to the invoice itself rather than in your personal email. You get a notification, and the whole exchange sits with the invoice it is about.

This matters most when the query arrives months later. Instead of searching your inbox for a thread about an invoice number, you open the invoice and the conversation is already there.

Reading and replying

  • Open the invoice from Invoices.
  • Open its Messages view to see the exchange in order.
  • Type your reply and send. It goes to the organisation by email, with the reply address still pointed at this conversation, so their answer comes back to the same place.

They never need an account, and they never see Sessional. From their side it is an ordinary email conversation about an invoice.

You need a verified email address

Note

Replying here sends an email to a third party in your name, so your own email address has to be verified first, the same as sending an invoice or a chase. If you have not verified yet, Sessional will say so instead of sending.

What to use it for

Payment queries are the common case: a wrong purchase order number, a question about a rate, a request to re-send the PDF, or an accounts team asking which cost centre the work belongs to. Answering in the thread keeps that history against the invoice, which is what you want if the payment is ever disputed.

Tier access

Invoice conversations are available on every tier, including Basic. What differs by tier is the invoicing around them: Basic covers up to 5 invoices a month, and automatic chasing is part of Plus. See pricing.

Frequently asked questions

Does this change where my invoice emails come from?
No. Invoices are still sent as a letter from you, with your name on them. The only thing that changed is where a reply arrives: it comes back into Sessional and onto the invoice instead of into your personal inbox.
Can I start the conversation, or only reply?
You can write the first message from the invoice at any time after it has been sent. It reaches the same contact the invoice went to.
What if they reply to the old address in their email client?
Replies to the address on the invoice email always route to the right conversation. If someone sends a fresh email to your own address instead, that lands in your inbox as normal and Sessional will not see it.
Is the conversation included if I export my data?
Yes. Messages on your invoices are part of your account data and are included in the export. See exporting your data.
