Document store

Upload and manage your professional documents securely.

Note

Documents are stored encrypted and only accessible to you. They are never shared with organisations or visible on your public profile.

Document categories

Keep your key professional documents in one accessible place, organised across six categories:

  • DBS certificate: your enhanced disclosure and barring service check, required by most organisations before you start work. Upload the certificate itself or a DBS Update Service confirmation.
  • Medical indemnity: your professional indemnity insurance certificate from MDU, MPS, MDDUS, or another provider. Organisations often ask to see proof of cover before confirming bookings.
  • Registration certificate: your current registration certificate from your regulatory body (e.g. GMC, GPhC, HCPC, NMC, GDC). This confirms your licence to practise and register status.
  • Training certificates: mandatory training records, CPD certificates, extended role qualifications (e.g. minor surgery, family planning), safeguarding training, and Basic Life Support certification.
  • Right to work: passport, visa, biometric residence permit, or settled/pre-settled status share code documentation. Required for employment eligibility checks.
  • Other: anything else you need quick access to, such as references, contracts, or insurance schedules.

Uploading documents

Go to Documents in the dashboard sidebar and click "Upload document". For each upload you will:

  1. Select a category from the six options above
  2. Enter a descriptive title (e.g. "DBS Certificate 2025")
  3. Choose the file from your device
  4. Optionally set an expiry date for automatic tracking

Accepted file formats: JPEG, PNG, WebP, and PDF.

Maximum file size: 10 MB per document.

Tip

If you have a multi-page document, upload it as a single PDF rather than individual image files. This keeps everything together and makes it easier to find later.

Expiry tracking

If you set an expiry date when uploading, the document displays a colour-coded badge so you can see its status at a glance:

  • Green: valid, more than 30 days until expiry
  • Amber: expiring within 30 days
  • Red: expired

Sessional sends you an automated email notification 30 days before a document expires, giving you time to renew and upload a replacement. You can manage notification preferences in your account settings.

Search and filtering

As your document library grows, use the built-in tools to find what you need quickly:

  • Search: type a keyword to filter documents by title
  • Category filter: select a category to show only documents of that type

Documents are listed with their title, category, upload date, and expiry status, so you can scan the full list at a glance.

Security and storage

Your documents are handled with care:

  • Encrypted in transit: all uploads and downloads use HTTPS/TLS
  • Secure storage: files are stored in Cloudflare R2 with no public URLs
  • Authenticated access only: each file is only accessible through your authenticated session
  • You control everything: only you can view, download, or delete your documents

There are no shared links or organisation-facing document views. If an organisation asks for a document, you download it and send it to them directly.

Frequently asked questions

Can organisations see my uploaded documents?
No. Documents are completely private to your account. Organisations cannot view, access, or request documents through Sessional. If an organisation needs to verify a document, download it and share it with them directly.
What happens if a document expires?
The badge turns red and you receive an email reminder (if notifications are enabled). The document remains in your library. It is not deleted. Upload a renewed version and optionally delete the old one.
Can I upload the same document type more than once?
Yes. You can have multiple documents in the same category, for example, several training certificates or both a current and previous DBS check.
Is there a limit on how many documents I can store?
There is no fixed limit on the number of documents. Each individual file must be under 10 MB.
Can I change the category of a document after uploading?
Yes. Edit the document details to update its category, title, or expiry date at any time.
