Terms and conditions

The terms that govern your use of Sessional.

1. About these terms

These terms and conditions ("Terms") govern your use of Sessional (sessional.co.uk), operated by Sessional Limited (company number 17159781) ("we", "us"). By creating an account, you agree to these Terms.

2. The service

Sessional provides software tools for locum healthcare professionals to manage bookings, invoices, expenses, NHS pension forms, tax planning, professional documents, receipts, and professional profiles. We are not a recruitment agency, employer, or marketplace. We do not take commissions on bookings.

3. Eligibility

You must be at least 18 years old and a qualified healthcare professional to use the service. You are responsible for the accuracy of the information in your account.

4. Your account

You are responsible for maintaining the security of your account credentials. You must not share your login details. You must verify your email address before accessing the service. You may close your account at any time by contacting us.

5. Subscriptions and payment

Sessional offers Basic (free), Plus (£14.99/mo), and Pro (£24.99/mo) tiers. Paid tiers are billed monthly or annually through Stripe. Prices are shown inclusive of any applicable taxes.

Paid tiers include a 14-day free trial. You will not be charged until the trial ends. You can cancel at any time from the billing page. You keep access until the end of your billing period.

You can pause your subscription at any time. While paused, billing stops and your data remains accessible. You can resume at any time.

6. Acceptable use

You agree to use the service lawfully and in accordance with UK regulations. You must not use the service to store or transmit harmful, fraudulent, or misleading information. You must not attempt to access other users' accounts or data.

7. Your data

You own your data. We process it to provide the service in accordance with our Privacy Policy. You can export your data at any time and request deletion of your account.

8. NHS Pension forms and tax tools

Pension form calculations and tax planning tools are provided for informational and planning purposes only. They are based on published NHS and HMRC rates and may not reflect your complete financial position. You are responsible for verifying calculations before submission. Sessional is not a financial adviser.

9. Invoicing and send to organisation

Invoices generated through Sessional are your documents. You are responsible for their accuracy and for meeting HMRC record-keeping requirements. When you use the "Send to organisation" feature, the invoice is sent by email from [email protected] on your behalf, with your email address as the reply-to. Sessional is not a party to any payment arrangement between you and an organisation.

Invoices are immutable once generated. If you need to correct details, void the invoice and generate a new one.

10. Document storage

Documents you upload (DBS certificates, indemnity certificates, training records, etc.) are stored securely and accessible only to you. Sessional does not verify, validate, or share your uploaded documents with organisations or any third party. You are responsible for keeping your professional documents current and valid.

11. API access (Pro tier)

Pro tier subscribers may generate API keys for personal automation. API keys are for your own use only and must not be shared with third parties. API access is rate limited to 100 requests per minute.

Sessional may revoke API keys at any time for any reason, including suspected abuse such as scraping, redistribution of data, or excessive usage. API access is tied to your Pro subscription. Downgrading to a lower tier automatically revokes all active API keys.

12. Third-party integrations

Sessional supports optional integrations with third-party providers such as Xero. When you connect an integration, you authorise Sessional to exchange data with that provider on your behalf. You can disconnect any integration at any time from your integrations page.

Sessional is not responsible for data processed by third-party providers once it leaves our systems. You must agree to the third-party provider's own terms and privacy policy before connecting an integration.

13. Support tickets (Pro tier)

Pro tier subscribers have access to in-app support tickets. Tickets and their contents are visible to Sessional support staff. We aim to respond to tickets within 24 hours, though response times are not guaranteed.

Do not include passwords, payment card numbers, or other sensitive financial details in support tickets. If we require verification of your identity, we will use secure methods outside of the ticketing system.

14. Booking requests and organisations

Sessional facilitates communication between locums and organisations through booking requests. We do not verify, endorse, or guarantee any organisation, booking, or employment arrangement. You are responsible for your own engagement decisions, employment checks, and contractual terms.

15. Limitation of liability

The service is provided "as is" without warranty. To the fullest extent permitted by law, Sessional Limited (company number 17159781) is not liable for any indirect, incidental, or consequential damages arising from your use of the service. Our total liability is limited to the amount you have paid us in the 12 months preceding any claim.

16. Changes to these terms

We may update these Terms from time to time. We will notify you of material changes by email or through a notice in the application. Continued use of the service after changes take effect constitutes acceptance of the updated Terms.

17. Governing law

These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
