Switch to Sessional from LocumDeck, airGP or Locum Organiser.

The hard part of changing locum software is not the new tool, it is your history: years of sessions, invoices and pension records sitting in someone else's system. You have a legal right to that data. Get it out, send it to us, and Sessional's founder will import it with you, free, on every plan.

How switching works

  1. 1. Get your data out

    Download whatever your current provider lets you export: CSV files if they offer them, otherwise your invoices and pension forms as PDFs. For everything else, send them the request letter below. Under UK data protection law they have one month to reply.

  2. 2. Send it to us

    Create a free Sessional account, then email what you have to support@sessional.co.uk. Any format is fine: CSV, a spreadsheet you kept yourself, PDF invoices, even screenshots.

  3. 3. We import it with you

    Sessional's founder prepares your sessions, organisations and invoices for import, by hand, and goes through them with you. You check every row before it is saved, because these figures feed your earnings, tax reserve and pension forms.

What we can and cannot import

What Sessional does today

  • Sessions from a CSV file, up to 500 rows at a time: organisation, contact, date, start and end time, rate, hourly or per session, and how you were paid. Every row is checked and errors are shown per row before anything is saved.
  • Invoices from a CSV file, up to 200 rows at a time: organisation, invoice date, due date, description and amount. Imported invoices are never sent to anyone. How invoice import works.
  • Receipts uploaded or forwarded by email are read for you and proposed as expenses that you confirm.
  • Organisations are created from your sessions and invoices as they import.

What needs a person

  • PDF invoices, pension forms and screenshots are not read into sessions automatically. The founder turns them into the import files with you.
  • Exports in another provider's layout need their columns matching to ours. We do that for you.
  • Pension contributions already paid are not recreated as forms. Your past sessions import, and new Form A or Form B figures are worked out from them going forward.
  • A long history on the free plan. Imported records count towards Basic's monthly limits, so a full history needs Plus or Pro. The 14-day trial is usually enough to finish.

airGP

Its FAQ says: "you can download your sessions, invoices, and reports as CSV while you have a valid subscription or active trial." Its privacy policy asks you to export invoices, expenses, mileage, pension records and tax records before closing your account. Download the CSVs first; they are the quickest route in.[1][2]

LocumDeck (NASGP)

Exports are not described in the documents we could read, and NASGP's own LocumDeck pages could not be read without signing in. Look for a download option in your account; if there is none, send the letter below.[4]

Send the letter to: The National Association of Sessional GPs (NASGP), which runs LocumDeck. Its privacy notice gives the data protection contact.

Locum Organiser

Invoicing, pension forms and tax reports are described; export formats are not described on the pages we read. Save your invoices and pension forms as PDFs from your account, then send the letter for everything else.[5]

Lantum

Its privacy policy says you can ask for your personal information to be transferred "to either yourself or a third party, in a structured, commonly used and machine readable format", and that it responds to these requests within 30 days.[3]

My Locum Manager

Its privacy policy describes a right to move, copy or transfer your personal information; an export format is not described on the pages we read.[6]

Using something else, or a spreadsheet of your own? The same letter works for any provider, and a spreadsheet you kept yourself can come straight to us.

The request letter

Copy it, fill in the parts in square brackets, and send it by email or post to your provider's data protection contact.

It asks for two things at once. Under Article 15 of the UK GDPR you are entitled to a copy of the personal data a provider holds about you.[7] Under Article 20 you can ask for the data you gave them in a structured, commonly used and machine-readable format such as CSV, and to have it sent directly to another provider where that is technically feasible.[8] As a locum working for yourself, your sessions and invoices are about you, so both rights apply to them.

A provider must normally reply within one calendar month. The clock pauses while they check your identity or ask you to clarify what you want, so answer those questions quickly. Asking is free in almost every case.

Under Article 15 of the UK GDPR, please send me a copy of all the personal data you hold about me. This includes my session and shift records, invoices, payment records, expenses and mileage, NHS pension form data, correspondence and any documents I have uploaded.

Under Article 20 of the UK GDPR, please also provide the personal data I have given you in a structured, commonly used and machine-readable format, such as CSV, covering my sessions and shifts, invoices, payments, expenses and pension form data, together with my uploaded documents in their original formats. Where it is technically feasible, I am happy for this to be sent directly to my new provider, [Sessional Limited, support@sessional.co.uk].

Please treat these as one request. If you need to confirm my identity, please tell me what you need and I will reply promptly.

I understand you must respond within one calendar month of receiving this request, or of receiving any identity or clarification you reasonably ask for. If I have not received the data by then, I will raise the matter with the Information Commissioner's Office.

If the month passes with no reply, remind them once in writing. After that you can complain to the Information Commissioner's Office.[9]

Questions about switching

Does the migration help cost anything?
No. Help moving your records in is free on every plan. It is done by Sessional's founder, by hand, with you, not by an automated service.
Which plan do I need to bring my history in?
Basic is free but creates at most 3 sessions and 2 invoices a month, and imported records count towards that. A full history needs Plus or Pro. Both have a 14-day trial the first time you subscribe: a card is taken and nothing is charged until the trial ends, which is usually long enough to finish an import.
Can Sessional read my old PDF invoices and pension forms automatically?
Not today. Sessional imports sessions and invoices from CSV files. When your old provider gives you PDFs, spreadsheets in another layout or screenshots, the founder turns them into those CSV files with you and you check every row before anything is saved.
What happens to the files I send?
They are used only to set up your account. Ask us to delete the files you sent at any time and we will.
My provider has not replied. What now?
The one-month deadline runs from when they received your request, or from when you gave them any identity check or clarification they reasonably asked for. If it passes, remind them once in writing, then you can complain to the Information Commissioner's Office.
